Running a Corporate Roadshow in NYC: Sprinter Logistics for Earnings Season and Investor Days
What finance IR teams and corporate-access coordinators need to know about running sprinter transport for NYC roadshows and investor days.
Every earnings season, we run 40-60 roadshow and investor day sprinter contracts across Manhattan. Here's what works — and what repeatedly goes wrong when corporate access teams book the job the way they book everything else.
What a roadshow sprinter day actually looks like
6:30 AM pickup at the team's hotel (often the St. Regis, the Lowell, or the Langham). First meeting at 7:30 AM at a Park Avenue or Midtown office. Eight to twelve 45-60 minute meetings with 15-30 minute transitions between them. Lunch at a restaurant with private-room capacity (usually The Capital Grille, Minetta Tavern, or Marea). Afternoon session of 4-6 more meetings. Dinner at 7 PM. Hotel drop at 10-11 PM. Total day: 14-16 hours of vehicle engagement.
Executive Sprinter vs. Standard Sprinter
For a team of 4-6 (CEO, CFO, IR lead, 1-2 bankers), the Executive Sprinter (9-10 pax conference layout) is almost always the right call. The worktables and privacy partition let the team prep for each meeting between stops. For larger teams (7-10), the Standard Sprinter paired with a lead Mercedes S-Class for the CEO gets the same effect. Don't put a 5-person team in a 14-passenger Standard Sprinter — it feels empty and work-hostile.

The on-time arrival math
Missed investor meetings are the career risk. Our operational default: arrive at each building 10-15 minutes before the scheduled meeting. The chauffeur drops the team at the lobby, then stages on the building's loading dock or on-street by the rear entrance. Between Midtown meetings, 15 minutes of drive-plus-walk is usually enough; between Midtown and downtown (Financial District, Tribeca), budget 25-30 minutes with Lincoln Tunnel-avoidance routing on outbound.
Peak weeks and booking windows
Earnings seasons (mid-January to mid-February, mid-April to mid-May, mid-July to mid-August, mid-October to mid-November) are our highest-demand executive sprinter windows. For earnings week, book 2-4 weeks ahead. Non-earnings roadshows and investor days can usually book on 7-10 days notice. During UN General Assembly week (September), NYC Marathon weekend, and Fashion Week, availability tightens regardless of industry demand.
