NYC Wedding Transportation: A Planner's Guide to Sprinters, Shuttles, and Getaway Cars
How to plan wedding transportation in NYC — how many Sprinters, where they stage, when to book, and the multi-vehicle contract structure every planner should ask for.
Wedding transport is the category where the gap between experienced operators and everyone else shows up most clearly. Here's the framework we use when a planner calls for a new wedding — borrowed from what the best NYC planners ask us for, which is usually what everyone else should be asking too.
The three vehicles a wedding almost always needs
- Guest shuttle Sprinter(s): One 10-14 passenger Mercedes Sprinter per 40-50 guests needing transport. Hotel-to-venue pickup 90-120 minutes before the ceremony.
- Wedding party Escalade(s): Escalade ESV or Executive Sprinter for the wedding party, arriving at the venue 30-45 minutes before the ceremony for getting-ready photos.
- Couple getaway car: Mercedes S-Class for the couple's post-ceremony photo tour and end-of-night getaway.
Everything else (parents, extended family, out-of-town VIPs) is either on the Sprinter shuttle or in a supporting Escalade, depending on logistics.
How many guest shuttles?
Rule of thumb: one Sprinter per 40-50 guests using the shuttle. For a 150-guest wedding where 100 guests are on the block and 60 will use transport, dispatch two Sprinters. For 200 guests and 100 using transport, consider three Sprinters. The upper bound is logistical, not capacity — three Sprinters running a tight loop is smoother than one coach bus making single-trip round-ups.
Multi-hotel blocks
For weddings with guests staying at 2-3 different hotels (common in Manhattan and Brooklyn), dispatch one Sprinter per hotel block on coordinated timing. Each Sprinter has a lead chauffeur in contact with the venue coordinator so all three arrive at the venue within a 5-minute window. Planners tell us this is worth the extra Sprinter compared to a single-shuttle loop that forces guests at Hotel B to wait 40 minutes.
Venue-specific pickup tips
- Brooklyn Botanic Garden: Washington Ave pickup, staging on Eastern Parkway.
- The Liberty Warehouse: Single-vehicle curb; Sprinters stage on Pioneer St after drop.
- The Bowery Hotel: Bowery drop, staging on 3rd St (no circling, we pre-arrange).
- 620 Loft & Garden: Single-vehicle elevator; Sprinters drop and stage in Rockefeller Center service road.
- Cipriani 42nd St: Pershing Square pickup, staging on 41st St between Park and Madison.
One contract, one point of contact
The single biggest quality-of-life improvement for a planner: bundle all wedding-day vehicles onto one contract with a single dispatcher. When to book and how to pay
For Saturday NYC weddings May-October, book 3-4 months ahead. For peak fall (late September, October) or destination Hamptons weddings, 5-6 months. We require a 50% deposit to hold the date (non-refundable after 72 hours) with the balance due 7 days before. Cancellations within 72 hours charge 100% of the contract; reschedules within the same calendar month are always free.
